Office Administrator Full-Time

 

Imagine Gymnastics Club is seeking a full-time Office Administrator. This role is the primary contact between the general public/membership and the IGC gymnastics club. The successful applicant will be required to work on location two to three days per week at each location - Carstairs and Olds. Carstairs Gymnastics Club 2 - 3 days and Olds Gymnastics Club 2 - 3 days a week.

 

 

About the Role:

  • This position will work 35 hours per week (to start) corresponding to gym programming hours - generally mid afternoon and evening.
  • During peak times (Feb-March), it may be necessary to work in excess of regular schedule
  • Reports directly to the Executive Board and works closely with our Competitive and Recreational coaching and other Administrative staff.
  • This is a contract, hourly position.

 

General Responsibilities:

  • ​Manage and complete registrations for all recreational and competitive programs.
  • Answer and respond to telephone calls, emails, walk-ins. Manage voicemail.
  • Sort all mail and emails
  • Maintain office and cleaning supplies.
  • Create advertisements for recreational programming and monitor for advertising opportunities.
  • Conduct regular visual inspections and maintenance of the gym. You will also be responsible for contacting our contractors to schedule appointments for any maintenance that needs to be completed.
  • Assist the coaching staff and board as directed.
  • Assist Creative Director with advertising and marketing of current and new programs

Qualifications and Experience:

  • Certificate or diploma in Office Administration preferred
  • Knowledge of Not-for-profit organizations, corporate filings
  • Must have working knowledge of Google Workplace
  • Work experience in customer service and office procedures
  • Excellent communication and organizational skills
  • Flexibility to work irregular and extended hours as required
  • Adaptability, professional and pleasant demeanor
  • Ability to work independently, efficiently and be a motivated self-starter
  • Able to deal with concerns in a discrete and confidential manner while serving a diverse membership
  • Knowledge and experience in administration, coaching certification or understanding of gymnastics is ideal but is not a requirement
  • Experience with Uplifter and Sportsoft programs an asset
  • Police and vulnerable sectors check required
  • Drivers license and reliable vehicle
  • First Aid certification is a plus
